The pain

The new-hire week is a paper avalanche: signed offer, signed NDA, signed IP assignment, signed handbook acknowledgement, signed health-insurance form, signed remote-work policy, signed background-check consent.   1. HR ops creates a template per document type — offer letter, NDA, IP assignment, handbook ack — once. Each template has placeholder fields the system fills per-recipient (name, role, salary, start date).
  2. Ops uploads a CSV of new hires and clicks Bulk send. The system fans out a personalised envelope to each hire's email — with the 8-character reference code in the subject line so it doesn't look like spam.
  3. Hires sign from their phone in under two minutes. Selfie + GPS captured at signing — useful for the "is this really you?" moments before Day 1.
  4. HR counter-signs from the dashboard once a day. Status flips to COMPLETED, the stamped PDF lands in the new hire's inbox plus the HR shared mailbox, with the brand-footer link and QR code on every page.
  5. Audit log retained forever — append-only, hash-chained. When the auditor asks for evidence three years from now, every signing event is one click away.

The evidence

Why does the evidence chain matter for HR? Two reasons:

  • Termination disputes.If an employee later disputes that they signed the IP assignment, the live selfie + IP + GPS at the time of signing is far harder to challenge than "a typed name in a box."
  • Cross-border employer-of-record. Different jurisdictions ask for different evidence. Our chain satisfies ETA Thailand Section 26, ETA Singapore (secure electronic signature), and ESIGN/UETA — all from the same envelope.

The outcome
